AI for Your Business — What Can It Really Do? (Honest Overview)

Let's be honest about AI

You cannot open a newspaper, listen to a podcast, or attend a networking event without someone talking about AI. Everyone has an opinion. Few people have concrete experience.

This is not an article that tells you AI will revolutionize your business. Maybe it will. Maybe it will not. That depends on your business, your processes, and what you concretely do with it.

What this article does: show you what AI can actually do for Dutch businesses in 2026. With real numbers, real examples, and an honest story about where it works and where it does not.

The facts: where does the SMB market stand?

In 2023, 1 in 12 Dutch companies used AI. By 2025, that doubled to 1 in 6. But only 6% of SMBs have AI as an integral part of their operations. 23% are implementing. 43% are exploring. The rest are doing nothing yet.

Those are numbers from CBS and the Dutch government, not from a marketing agency selling AI services.

The biggest barriers? 62% of entrepreneurs cite lack of knowledge. 54% say the added value is unclear. 48% cite costs.

Those barriers are understandable. But they are largely based on outdated assumptions. Five years ago, AI implementation cost tens of thousands and required a team of specialists. In 2026, it costs a fraction of that and you can be live in weeks.

What AI can concretely do for your business

Forget the abstract promises. Here is what AI does in practice for businesses comparable to yours.

Eliminate manual work. At Albendo, an automated system syncs more than 5,000 products daily with the supplier. Inventory, prices, product information. What used to cost hours per day now costs zero minutes.

Streamline business processes. At Windmills Sports, a custom-built system manages athlete profiles, university networks, and news publications from a single portal. What used to be spreadsheets, emails, and loose documents is now one streamlined system.

Manage content in multiple languages. At Evelyne Fontaine, a visual editor automatically translates to four languages. She manages 50+ brand collaborations from one dashboard instead of four separate systems.

Automate order processing. From order to invoice to shipping, with the right notifications at the right moments. No manual steps, no missed orders.

These are not future visions. These are systems running right now at Dutch businesses.

Where AI is not the solution

Not every problem is an AI problem. Here is where you are better off not spending your money.

If your process is not clear. AI automates existing processes. If you do not know how your process works, AI cannot automate it either. First clarify your workflow, then automate.

If you have too little data. AI predictions work with patterns in data. If you get five orders per week, there is not enough data to recognize patterns. For simple automation (order processing, inventory management) this does not matter. For predictive models (demand forecasting, price optimization) it does.

If the problem requires human contact. Customer service for complex questions, sales conversations with large clients, crisis management. AI can support, but not replace.

If your current tools work fine. If you manage your entire administration with three hours of work per week and are satisfied with that, automation is a solution for a problem you do not have. Invest your money elsewhere.

The businesses that benefit most from AI are businesses with clear, repeatable processes that currently run manually. The more repetition, the greater the return.

What does it actually cost?

This is the question everyone asks and almost nobody answers honestly.

Using AI tools (ChatGPT, Copilot, Jasper): €20 to €200 per month. Useful for content, emails, and simple analyses. No structural change.

Simple automation (Zapier, Make, n8n): €50 to €500 per month. Connects existing tools with rules. Limited in complexity.

Custom software with AI: €2,000 to €5,000 one-time + €50 to €100 per month. Completely replaces manual processes. Built for your specific workflow.

At Nurani we build custom software in the third segment. That sounds like the most expensive option, but it is often the cheapest long-term. A Zapier setup at €200/month costs you €4,800 over 2 years and does a fraction of what custom can do. Read more about the costs of custom software.

What you need to know about the AI Act

The EU AI Act has been in force since 2024 and is being enforced in stages. This is not future talk. It is legislation that applies now.

For most SMBs, little changes in the short term. The strictest rules apply to high-risk AI systems: credit scoring, medical diagnoses, automated decision-making about people. If you use AI for inventory management, order processing, or content management, you fall into the minimal risk category.

But there are basic rules that apply to everyone. If you use AI systems that interact with customers (chatbots, automated emails), you must be transparent about the fact that it is AI. Customers have the right to know they are communicating with an automated system.

Additionally, you need to know where your data goes. If you use ChatGPT for customer communication, you may be processing personal data through an American company. That has GDPR implications. With custom software you have full control over your data and know exactly where it is stored.

The practical lesson: use AI, but know what you are doing. Choose solutions where you maintain control over your data, be transparent with customers, and keep an eye on the legislation. It is not complicated, but you need to be deliberate about it.

Should you act now, or can you wait?

The honest answer: that depends on your situation.

Wait if your business runs smoothly, your processes are efficient, and you do not do manual work that frustrates you. AI is not a goal in itself. If it does not solve a concrete problem, it is a distraction.

Start now if you spend hours per week on manual work that a system could do faster. If your competitors are becoming faster, cheaper, or more visible. If you are growing and your current systems are not keeping up.

The businesses that start now build an advantage that is hard to catch up to. Not because the technology is exclusive, but because the systems you build get smarter the longer they run. Data accumulates. Processes optimize. Every quarter you start earlier is a quarter of extra advantage.

The Netherlands ranks 6th in Europe for AI adoption. That sounds good, but it also means your neighbor, your competitor, your supplier has probably already started. The question is not whether AI will become relevant for your business. The question is whether you are ready when it does.

Veelgestelde vragen

What can AI do for a small business?

AI can automate manual processes (order processing, inventory management), manage and translate content, streamline customer communication, and generate reports. The concrete impact depends on which processes you currently do manually. The more repetition in your work, the greater the return.

How much does AI cost for an SMB?

From €20/month for AI tools to €2,000-€5,000 for custom software. The cost depends on what you want to automate. Simple AI tools cost little but do little structurally. Custom software costs more but completely replaces manual processes.

Do I need technical knowledge for AI?

No. At Nurani we build systems with a visual management portal. You do not need programming knowledge to use it daily. The technical side is our job.

Is AI safe for my business data?

That depends on how it is implemented. With custom software you have full control over your data. With external AI tools (ChatGPT, etc.) you process data through third parties. For sensitive business data, custom is always safer than generic tools.

How quickly will I see results?

Simple automations run within 1-2 weeks. Full custom solutions are live within 2-4 weeks. The return is usually immediately visible: less manual work, faster processes, fewer errors.
